We are seeking a hands-on Facilities Coordinator for the overall coordination of repair and maintenance projects. This includes small renovations, installation of equipment, overall repair and maintenance, preventative maintenance, etc. for all facilities.

RESPONSIBILITIES:

• Assign/Dispatch repair and maintenance activities.
• Identify inefficiencies, provide recommendations, and implement improvements with Director of Facilities.
• Respond to after-hours facilities related emergencies, determine appropriate course of action to resolve issues and follow to closure.
• Manage, implement changes/enhancements, and monitor work order system, including analyzing and directing work order requests, providing status updates, evaluating historical data and creating/delivering training to staff and contractors.
• Oversee and schedule contractors, vendors and maintenance staff. Coordinate with necessary parties (management, salon operations, contractor, landlord, etc.) to insure timely execution and completion of repair and maintenance requests.
• Follow up on completed service requests to ensure internal standards are met.
• Source, review and evaluate consultants, contractors and vendors for repairs and maintenance.
• Manage small to medium sized repair projects, identify and prioritize repair and maintenance needs, research and determine project solutions, oversee provider bidding/selection, including supervision of contractors.
• Request, obtain and evaluate vendor bids/proposals for repairs and maintenance.
• Work closely with maintenance technician. Identify/locate and purchase parts, supplies and materials.
• Oversee vendor contracts and contract performance. Review annual preventative maintenance contracts.
• Create and maintain file management system for all contracts, proposals, invoices, & project documents.
• Ensure compliance with health and safety regulations.

REQUIREMENTS:

• Associate degree in construction, engineering, architecture or equivalent combination of related coursework and experience.
• 2-5 years related experience, ideally in a similar fast paced retail/hospitality construction environment.
• Up to date working knowledge of construction, unions, fixture, furniture and equipment.
• Highly motivated, organized, service orientated approach.
• Ability to work independently and coordinate many projects and tasks in a fast-paced environment.
• Solid working knowledge of Microsoft Word, Excel and Project.
• Record keeping and other administrative skills.
• Ability to travel if necessary.
